How Britvex collects, uses and protects personal information.
This privacy notice explains how BRITVEX ADVISORY LTD uses personal information when you enquire about our services, become a client, use our website, communicate with us, provide information for accounting or tax work, or interact with us in another business capacity.
BRITVEX ADVISORY LTD
Clients, prospective clients, website visitors and business contacts.
The information we hold depends on the relationship. A website visitor may provide only basic enquiry data; an accounting or tax client may need to provide identification, financial records, payroll information, ownership details and other information necessary for the professional work and legal obligations connected to the engagement.
Names, addresses and business contact details.
This can include names, email addresses, telephone numbers, residential or business addresses, dates of birth, company roles and other identifiers required for communication or onboarding.
Information needed to identify clients and ownership.
Where required, this can include identity documents, verification results, beneficial ownership, director or PSC details, risk information and other records needed for anti-money-laundering or client due-diligence purposes.
Records needed to provide accounting and tax services.
This can include bank and transaction records, income, expenses, invoices, tax records, accounts, property information, payroll data and information about relevant financial arrangements.
Information needed to process payroll or employment-related reporting.
This can include employee names, addresses, tax identifiers, pay information, deductions, bank details and other information provided by a client for payroll administration.
Emails, enquiries, instructions and service records.
We may retain correspondence, meeting notes, client instructions, approvals, complaints, service history and information needed to evidence the work performed.
Information generated when the website or online services are used.
This may include device, browser, security, log, cookie or analytics information where the relevant tools are in use and permitted by applicable law and consent requirements.
We use information only where there is a lawful basis and a legitimate business or legal purpose.
The lawful basis can differ according to the activity. In some cases more than one basis may be relevant to different aspects of the same client relationship.
Information is shared only where there is a reason connected to the service, the law or secure business operations.
Depending on the engagement, recipients may include government bodies, professional service providers and technology providers that support the work. The exact recipients depend on the client and service.
Share the information needed for the purpose — not the whole client file by default.
UK data-protection law gives individuals a range of rights.
Some technology or professional-service arrangements can involve information being processed outside the UK.
Where a transfer is restricted under UK data-protection law, Britvex will use an available lawful transfer mechanism as appropriate to the circumstances. This may include UK adequacy regulations, an approved contractual safeguard such as the UK International Data Transfer Agreement or Addendum, together with the required transfer assessment, or another lawful exception where applicable.
The data flow should be considered separately: who is receiving the information, in which country, in what capacity, why the transfer is needed and what safeguards are required.
We do not use one retention period for every category of information.
Britvex keeps information for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, tax, accounting, AML, contractual, dispute and professional record-keeping requirements. Different records may therefore be retained for different periods.
Keep information only for a defensible reason.
